Outgoing email settings

Send emails using: 

  • General SMTP server. Emails are sent out using SmartAccounts’ SMTP server. The emails will have a ‘from’ address of no-reply@smaccounts.eu and a ‘reply to’ address you have set here as the sender email.
  • External SMTP server. Emails are sent out using the SMTP server of your email service provider. That requires authentication with a username and password. Both the ‘from’ and ‘reply to’ addresses of the emails will be the address you have set here as the sender email.
  • General SMTP server (old). Emails are sent out the old way using SmartAccounts’ SMTP server. This option cannot be relied upon because of modern junk mail rules and we will stop supporting this option soon. Therefore we recommend using your own SMTP server or the newer SmartAccounts’ SMTP server solution. Please note that this option is displayed only for companies that have it currently selected.

 

SMTP server setup

General SMTP server

  • Reply to email address 
    • Company email. By default, the first email address of the company will be used as the sender email address. It’s always possible to change the email address if desired.
    • User email. Your current user email will be used.
  • Sender name. Text to display as the sender of the email. You may use the following codes: 
    • #COMPANY_NAME – company´s name
    • #PERSON_NAME – username

 

External SMTP server

 

Company general email

The general SMTP setting will be used to send emails by all company users who don’t have their own user specific settings. 

  • Sender name. Text to display as the sender of the email. You may use the following codes: 
    • #COMPANY_NAME – company´s name (default)
    • #PERSON_NAME – username
  • Sender email address. The first email address of the company will be used as the default sender email address. This can be changed to something else. 
  • Email service provider. Your email service provider.
  • Server. The SMTP server of your email service provider. This value is filled in automatically after selecting a service provider.
  • Username. Email account username (in some cases the username and email address may be different). 
  • Password. Email account password.

 

Company user emails 

It is possible to configure SMTP settings separately for each company user, taking into account their email addresses and service providers. 

User rights

Allow users to set their own email settings. When this is selected, every user with ´Settings´-´Email´ rights can view and change their own outgoing email settings.

Only users with the additional ´Settings – Email – Outgoing email settings´ right can view and change company general email and other users´s email settings. User rights can be granted and changed under ´Settings – Users & groups´ in the menu. 

 

Settings

User. User email address

Sender name. Text to display as the sender of the email. You may use the following codes: 

    • #COMPANY_NAME – company´s name 
    • #PERSON_NAME – username

Sender email. User email address

Service provider. Your email service provider

Server. The SMTP server of your email service provider. This value is filled in automatically after selecting a service provider.

Username. Email account username (in some cases the username and email address may be different).

Password. Email account password.

Service providers

The selection includes the following service providers: 

  1. Gmail 
  2. Outlook/Hotmail
  3. Telia
  4. Zone
  5. Veebimajutus.ee
  6. Elisa
  7. other

After a connection to your email service provider is established, emails are sent out using an external

SMTP server. 

Please note that when emails are sent out from an external SMTP server, they will not be displayed under ´Sent´ emails.
